Usage Costs

We provide full transparency on incurred costs for reliable planning. It is important that no hidden or unexpected fees arise.
The base fees already include generous limits based on the fair-use principle. For usage beyond that, or for individually billed services such as sending SMS through third-party providers, the following additional costs apply based on consumption.
Usage costs are billed monthly for the preceding period. Base fees are always invoiced at the beginning of each billing period. If usage costs exceed €100 per month, up to the value of the previous month may be applied as an advance payment for the following month.

Transactions & Payments

Typically, your Stripe or PayPal account is connected directly to process online payments. We simply integrate an interface to your external payment processing account.
Please note that these providers usually charge 2-5% of the transaction amount in fees. Higher fees may apply depending on the company's location and the customer's country. Please review the details of your agreement with your payment service providers carefully.

Banking API

Your bank account can be directly integrated so that payments are automatically recorded and processed in the system. Connections to 1 account (Mini), 2 accounts (Business), or 3 accounts (Ultimate) are included.
For each additional account, we charge €5 per month, as we rely on an external service provider to access the transactions.

SMS

Fees are charged per SMS sent, depending on the recipient's country. A premium SMS to Germany costs, for example, €0.15. Please contact us for details and to activate this feature.

External APIs

As a general rule, your own account with external providers is connected via an interface. This ensures maximum transparency and clarity of responsibilities.
For exotic or proprietary interfaces, additional development and maintenance effort is usually required. External service providers or your own employees are welcome to handle the implementation and access your system's API.
If the external interface changes, additional development work may be needed to make the necessary adjustments. Standard maintenance ensures the availability of developed features based on the version at the time of development.
Our recommendation is to keep dependencies on third-party systems and APIs as minimal as possible, and ideally to map everything through EASEWORK as the central system, where all areas are perfectly integrated with each other.
This ensures smooth operation and easy maintenance and usage. If an external API is absolutely required, connections to multiple providers can also be established in parallel, to quickly switch to an alternative in case of a disruption.

Support

Your team can find information on help pages and in onboarding videos at any time. All features are documented and explained there.
If questions remain or issues arise, support tickets can be submitted at any time. We will do our best to process them as quickly as possible within 48 hours.
Our customers with Business and Ultimate base fees receive prioritized support and typically receive responses within just a few hours. Please note the agreed service hours.
Critical bugs are usually fixed within a few hours (sometimes even minutes) and take priority over all other matters to ensure error-free system operation.

Concurrent Sessions

A charge of €1 per 100 concurrent sessions per month applies. The peak value of concurrent sessions per billing period is used. Only logged-in users are counted.
100 (Mini) or 500 (Business) concurrent sessions are included depending on the base fee. A hard limit can be set so that no more users than allowed by the base fee can be logged in simultaneously.
With the Ultimate base fee, there is no limit on concurrent sessions since a dedicated server is used and no other customers can be affected. If server capacity is insufficient, we are happy to offer a hardware upgrade. Cluster operation is also possible to further increase capacity.
If a sudden surge in users is expected, please contact us with sufficient lead time to ensure adequate capacity.

Automations

A charge of €1 per 100 executed steps applies. Unlimited with the Ultimate base fee.
2,000 (Mini) or 10,000 (Business) steps are included depending on the base fee.
With the Ultimate base fee, there is no limit. However, excessive usage may exhaust resources and slow down the server. Hardware upgrades or additional servers are possible.

Storage & Backups

A charge of €1 per 10 GB of data per month applies. This includes the database, uploaded files, and backups. The highest measured value per month applies.
250 GB (Mini), 1 TB (Business), or 5 TB (Ultimate) are included depending on the base fee.

Network & Traffic

10 TB of data volume per month is included. Throttling of speed is possible for higher usage.

De Minimis Threshold

Usage costs are generally only charged from €10 per month (combined total), provided they do not incur individual costs (e.g., SMS). We reserve the right to bill quarterly to avoid micro-invoices. Uncaptured costs from previous months can be billed retroactively for up to 24 months.
