Gantke Akademie – From Excel to System

The Gantke® Akademie for holistic bodywork was founded by Robert Gantke and is based in Dortmund-Aplerbeck. It specializes in training holistic fascia therapists and has been awarded the Innovation Prize by the German Wellness Association.

With a growing number of participants and increasing demands on the organization of training programs, the academy faced the challenge: How can the entire training and administration process be made more efficient?

Previously, many processes were managed manually – from participant registration and course organization to documentation of training progress and creation of certificates and even invoices. This led to high administrative overhead and hindered the academy's growth.

The most commonly used tools were Excel spreadsheets and handwritten lists. The system that had worked perfectly in the beginning had reached its limits and a solution was urgently needed.

After a comprehensive analysis of the academy's processes, we developed a tailored software solution that digitized and automated the entire administration process.

In multiple iterations, new features were introduced step by step and the best possible solution for all areas of the academy was developed and refined together with the staff, in order to make processes more efficient, simplify them, and ideally fully automate them.

Wherever necessary or helpful, a solution was created to simplify processes and effortlessly manage the growing number of participants with a small team while keeping everything under control.

Beyond developing tailored solutions, we also supported the academy for 6 months in marketing and ran profitable advertising campaigns to consistently generate new leads for the free introductory day "Faszination Faszien".

As part of the collaboration, we also created the new logo and branding, set up funnels, produced countless videos, managed the website, and thus transformed the academy's entire presence – from internal systems to the external brand appearance.

To fully focus on our core competency of developing custom software solutions, we have since handed off the marketing area and no longer offer this service.

By implementing our solution, the academy was able to not only save time and resources but also provide its participants with a seamless, professional experience.

Many previously manual tasks could be fully automated, or as in the case of certificate generation, completed with just one click. The system has significantly contributed to bringing order and clarity to the workflows and administration.

A consistent data foundation in a centralized user-friendly application, linked with all relevant information, instead of manually reconciling and maintaining various lists.
